Many organizations use email as the primary communications tool to share and collaborate. Email discussions groups, also known as email lists or discussion lists, are commonly used within organizations to facilitate virtual group discussions. Whether it be a church group discussing their next meeting or an enterprise business discussing new product plans email is an easy and convenient way to share ideas.
The challenge with email is the inability to search or archive messages centrally, typically the participants maintain their own copy of all messages. New members joining the discussion have to ask questions previously answered because there are no tools to allow them to search for previously discussed topics. Overtime the initial value of the email discussion group fades as the original members grow frustrated and disinterested with repeatedly addressing the same questions.
Solutions to this problem can be found today in public tools, such as those provided by Microsoft’s MSN Communities tools or Google’s Google Group tools. In addition to email, both of these solutions enable web based tools for participating in web discussions, as well as search tools and automatic archiving. The challenge with both of these offerings is the risk of storing sensitive content on these publicly accessible servers.
